What we keep, and what we don't
The Radiant Hollow is a small community site run by hobbyists, not a company with a data department. This page is written in plain English because there's no reason for it not to be.
The short version
- No advertising, no analytics, no tracking scripts. None.
- We don't sell or share your data with anyone for marketing.
- We store what the site needs to work, and not much else.
- You can ask for your account and content to be deleted, and we'll do it.
What we collect
Your account. An email address and a password. The password is hashed by our authentication provider and is never visible to us. We use your email to sign you in, to reset your password if you ask, and to send you notifications about activity that involves you, such as a reply to your support ticket or an update on a contest you entered. You can turn those notifications off (see Your choices below); essential account emails like a password reset are always sent.
Your profile. A display name, and optionally your gamertag, other names you go by on Discord or Band, your platform, and your timezone. The timezone exists so scheduled things (open house windows, contest deadlines) display in your local time. All of this is optional except the display name, and all of it is editable.
Your memberships. Which guilds and communities you belong to and your role in each.
What you post. Showcases, guides, contest entries, open house listings, support tickets, votes, judging scores, and the showcases you favorite or rate.
Files, in three narrow cases. The site is deliberately link-based rather than upload-based, with three exceptions: verification screenshots submitted with a leader application, evidence attached to a ban recommendation, and contest entry screenshots. The first two go to private storage readable only by site admins. Contest entry images are public, as you'd expect for a contest.
Moderation records. If your account is banned, we keep a record of it, including after the ban is lifted, so there's an honest history rather than a gap.
What we don't collect
No analytics or advertising of any kind. No behavioural profiling. No cookie-consent banner, because there's nothing to consent to beyond the login session that makes signing in work. We don't ask for your real name, your address, your date of birth, or any payment details; there is nothing to pay for.
Cookies and browser storage
Two things, both strictly functional: a session cookie set when you sign in so the site knows it's you, and a small entry in your browser's local storage recording whether you've turned the animated background off. Neither is used for tracking, and neither leaves your browser except to prove your login.
Who can see your information
- Signed-out visitors see only showcases and guides explicitly marked public, and never the author's name. Their browsers are never sent it.
- Other members see your display name, your posts, and, where relevant, like the open house board, your gamertag.
- Your guild's leaders and officers see you on their roster along with your profile details.
- Site admins can see everything above, plus support tickets, application and ban-recommendation evidence, and moderation history.
Support tickets are visible to you and to site admins. Contest judging scores and votes are visible only to the person who cast them and to that contest's staff; other members see totals, not who voted for what. Gallery ratings and favorites work the same way: a showcase shows its average rating and how many members saved it, never who rated it or what they gave it, and your favorites are yours alone to see. Feedback on a guide under review stays between the author and staff permanently, and is never attached to the published guide.
Who we share it with
We use third-party services to run the site, and your data touches them only for that purpose:
- Supabase: database, accounts and authentication, and file storage. Effectively everything described above lives here.
- Our web host: serves the site and keeps standard server logs, which include IP addresses. It also delivers our email: account and notification messages are sent through its mail service. There is no marketing list, and our emails carry no open-tracking or click-tracking pixels.
- Embedded content: when a member links an image, a YouTube video, or an Imgur album, your browser fetches it directly from that service. Those services can therefore see that a visitor requested it, under their own privacy policies, not ours. This is the ordinary consequence of embedding, and the main reason to think before linking something sensitive.
We do not sell your data, share it for advertising, or hand it to anyone else except where we're legally required to.
How long we keep things
Your account and posts stay until you ask us to remove them. Two things clean themselves up automatically: gallery showcases are archived after a period of inactivity set by site staff (currently one year): archived, not deleted, and restorable by you, and contests completed more than a year ago are deleted outright, along with their entry screenshots. Contest organisers can export a record of a contest before that happens.
Your choices
You can edit or clear most of your profile at any time from your dashboard, turn notification emails on or off from your profile, edit or delete your own showcases and guides, and withdraw a contest entry while signup is still open.
You can also ask us to delete your account entirely, or to tell you what we hold about you. If you have an account, a support ticket is the quickest route. If you can't sign in, because you've left or your account is banned, write to privacy@radianthollow.com. When asking for deletion, say whether you want your posts removed as well or left in place with your name detached, since we can do either.
Children
The Hollow isn't intended for children under 13, and we don't knowingly keep accounts for them. If you believe a child has an account here, contact us and we'll remove it.
Keeping the site secure
Access is enforced at the database level rather than only in the interface, passwords are hashed by our auth provider, and private uploads are readable only by admins. That said, this is a volunteer-run community site: we can't promise perfect security, and you shouldn't post anything here you'd be badly hurt by seeing elsewhere.
Changes to this policy
If this policy changes in a way that matters, we'll update the date at the top and say so on the site. Small wording fixes won't get an announcement.
